SUMMARY
This position is for a Front Desk/Data Entry Specialist within the Military & Family Readiness Center (M&FRC) of the 66th Force Support Squadron (FSS) at Hanscom AFB, MA. The Front Desk/Data Entry Specialist will primarily provide reception services and perform clerical and administrative duties. This includes managing telephone calls, greeting visitors, directing clients to appropriate program managers, scheduling M&FRC classes, and providing routine information. A key part of the role involves data entry into the Air Force Family Integrated Result Statistical Tracking (AFFIRST) database and Department of Defense (DOD) Transition Assistance Program (TAP) systems, including scheduling and sending reminders for TAP workshops
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Reception Services: Receive telephone calls, greet visitors, ascertain the nature of calls or visits, and direct clients to the appropriate M&FRC staff member. This includes watching for opportunities to raise awareness of M&FRC programs and services.
- Scheduling and Information Provision: Schedule clients for M&FRC classes and provide complete and clear information regarding most routine or procedural issues. Specifically for the Transition Assistance Program (TAP), schedule clients for workshops and send reminder emails one week prior to the class start date, or as directed by program managers.
- Data Entry and Database Maintenance: Perform various clerical and administrative duties, including entering all required information and data. The contractor must maintain currency within the Air Force Family Integrated Result Statistical Tracking (AFFIRST) database system and input all TAP data and resources into the AFFIRST web application and DOD TAP systems.
- Front Desk Management: Maintain the appearance of the Front Desk by aligning chairs, materials, publications, and resources on a daily basis. Report inoperable equipment to M&FRC management.
- Reporting: Ensure all clients completely sign-in and generate a monthly client usage report in the format established by M&FRC management. The contractor shall also provide a monthly data entry report to the Chief of M&FRC and the Contracting Officer's Representative (COR) no later than the fifth (5th) working day of the month.
- Property Safeguarding: Responsible for safeguarding all Government property provided for contractor use. At the close of each work period, Government facilities, equipment, and materials must be secured according to established procedures.
- Compliance: Follow all privacy rules and regulations when handling personal information, including the Privacy Act (5 U.S.C. § 552a), which protects how personal data is collected, used, and shared.
- Training and Development: Attend or take training deemed essential or mandatory by Air Force Directives and Instructions or directed by the Military & Family Readiness Center Chief

SKILLS AND QUALIFICATIONS
- Data Entry Proficiency: Strong working knowledge and capability to operate data entry device(s) to input lists, records, or other data points into an electronic format.
- Software Proficiency: Strong working knowledge of Web Based applications (Microsoft Edge/Chrome). Proficiency in Microsoft (MS) Office Suite products, including MS Office Word, MS Office Excel, and MS PowerPoint, is required.
- Customer Service Experience: Familiarity with standard concepts, practices, and procedures within a customer support and business environment. A minimum of 12 months (1 year) of prior customer service experience is required.
- Judgment and Planning: Ability to rely on experience and judgment to plan and accomplish goals in a timely manner.
- Interpersonal Skills: Strong customer service and communication skills are required for the professional environment of the M&FRC.
- Cultural Competence: Basic understanding of military protocol, support group organizations, and family systems in a military setting. Possesses the ability to communicate and work effectively with a diverse population
EDUCATION & EXPERIENCE
- Education: High School Diploma or GED
- Experience: A minimum of one-year experience working in customer service is required
SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibility over other personnel.

- The work is conducted in the professional environment of the Military & Family Readiness Center (M&FRC).

PHYSICAL DEMANDS
- Regularly required to sit for extended periods, use hands and fingers for typing and data entry, and communicate clearly in person and over the phone.
- This role may occasionally require walking short distances, standing, bending, or lifting light office items (up to 25 pounds).
